Please follow the directions that pertain to your circumstances.


New Access for Current Students - Hand Delivery/Photo ID

  1. Parent/Guardian will print/obtain the application (hand delivery/photo ID) for access from the OCS website/school.

  2. Parent/Guardian will complete and sign the form.

  3. Parent/Guardian will present in person the completed form along with a picture ID.

  4. School staff will verify the photo ID matches information on the form.

  5. After the Parent/Guardian completes their portion, the staff member will complete the appropriate sections on the form.

  6. School staff will verify that information from the form matches the information in the student information management system.

  7. School staff will forward to school administrator any parent portal request form that has one or more of the following issues.

    1. Parent/guardian information is not in the student’s demographics.

    2. Address does not match student’s home address.

    3. For any reason that there is doubt of legitimacy of the request. .   

  8. If the request is immediately approved, the Parent Portal letter for the student will be printed and presented to the parent/guardian.  If the request is in question (see step 7, above), the school will communicate the results as soon as possible, but no longer than 15 (fifteen) days.  The school then can plan a meeting or inform the parent/guardian in writing of approval (Parent Portal Letter) or denial of request.

  9. The Application will be placed in the Student’s Cumulative Folder.


New Access for Current Students - Notary (Parent/Guardian is not able to hand deliver form)

  1. The parent/guardian will print/obtain the application (notary) for access from the OCS website/school.

  2. Parent/Guardian will complete the application.

  3. Parent/Guardian will sign the application in the presence of a Notary Public.  The Notary Public will complete the Notary section of the form.

  4. Parent/Guardian will mail or have delivered the completed application to the school.

  5. School staff member will verify that information on the application matches the information in the student information management system.  Staff will then approve or forward the request to an administrator.   Schools have 15 (fifteen) days to review the request and notify the parent/guardian.

  6. Staff will complete the appropriate sections on the application.

  7. If the application is approved, the Parent Portal letter for the student will be printed and mailed to the parent/guardian.  If not approved, then a denial notification will be made by the school.   

  8. The Application will be placed in the Student’s Cumulative Folder.


Registration - New Students

  1. The parent/guardian will obtain the application for access from the school in the registration packet.

  2. Parent/Guardian will complete and sign the Hand Delivery Form.

  3. Parent/Guardian will present in person, with the other completed forms from the registration packet, along with a picture ID.

  4. School staff will verify the photo ID and that the information matches the form.  After verification, staff will complete the appropriate section on the application.

  5. Staff will then approve or forward the application to an administrator.  Schools have up to 15 (fifteen) days to review the request and notify the parent/guardian of the results of the request.

  6. Once student is active in the student information system, the staff member will create the parent access information using the automated process for creating web id and passcode.

  7. If the application is immediately approved, the Parent Portal letter for the student will be printed and presented to the parent.  If approval or the creation of the access information was delayed, the parent will have to return to the school to receive it or the Parent Portal Letter will be mailed.

  8. The Application will be placed in the Student’s Cumulative Folder.


Existing account information

  1. Parents/Guardians that contact the school or district with an access issue, will be prompted to use the the automated process located on the Parent Portal Screen “Having trouble signing in?”.

  2. For parents/guardians that contact the school and require further assistance, we will only verify the email address that is used with the parent portal account.  Accounts can be unlocked.

  3. Parents/Guardians that are not able to resolve the access issue with the options above will have to provide picture ID, face to face, with appropriate school staff member in order to have their password reset.  The staff member will verify the information given, then proceed with resetting of the parent’s account password and giving further help if needed.
